Buying organisations pay an annual usage
fee to AirportSmart which gives individual Buyers unlimited access to the facilities of AirportSmart including
the Supplier Database. Purchase Managers will use AirportSmart
to manage Requests for Information (RFI) and/or to manage
Requests for Quotations (RFQ).
Buyers and Suppliers agree
to abide by the AirportSmart Usage Guidelines which can be
altered from time to time.

Suppliers are invited by
individual Buyers to participate in an RFI and/or RFQ. Suppliers
will be sent a digital signature via email by the Buyer. For
this to happen Suppliers need to get on the 'radar screen'
of Buyers. This can happen in several ways, namely:

Registering on AirportSmart.com at no charge. |

Responding to a public tender notice in OJEU for example |
| Being contacted directly
by the Buyer.

Supplier Registration requires
Suppliers to classify their business using the CPV codes - this helps
Buyers to find the right Suppliers in the
AirportSmart database.
Suppliers can raise their
profiles by sponsoring the home page of AirportSmart.

Suppliers that have been
invited to participate in an event have to agree to the Usage Guidelines and to the
Participant Agreement.
Upon acceptance to these
agreements Suppliers can down-load tender documents and upload
their responses if they have been invited by a Buyer to do
so. There is no charge for this service.
If the Buyer decides to request
formal quotations, the short-listed Suppliers will be invited
into a competitive bidding competition. Bidding may be by
a number of means such as an online-auction or on-line sealed
bid or an offline negotiation. Bidding may or may not be preceded
by a RFI phase. It is only when Suppliers have been invited
and have accepted the opportunity to bid for business will
they have to pay a non-refundable Bid Processing Fee to AirportSmart.
The current fee structure is included in the Participant Agreement.
Alternatively, Suppliers that may be bidding for several tenders
throughout the year can pay an annual Portal Access Fee which
gives them Company Login rights to invited tenders.
Some of the tenders published
will be done jointly between the buying organisations and
some will be unique to each buying organisation. The successful
Suppliers will contract with the buying organisation not AirportSmart.
